Required 2021 Re-certification Trainings for all Current Users Coming Soon!

If you are a current Minnesota HMIS user or supervise a MN HMIS user(s), please read this email - as required virtual trainings for all users are coming your way in September!

To help us as a community working to ensure high data quality and integrity of Minnesota’s HMIS, ICA has two important topics for users to understand. As such, we are requiring our entire user base watch approximately 30 minutes of videos this year to maintain access to Minnesota’s HMIS.
 
Beginning this year, all HMIS users will be required to complete an Annual Data Privacy & Security Re-certification training by October 1st in order to keep your access to HMIS active. This will count as your 2021 Recertification Training requirement and going forward will be required annually.
 
Additionally, the 2022 HUD and MN Data Element Changes go into effect on October 1st, 2021. Because these changes impact the data you collect and enter into Minnesota’s HMIS, all users will be required to complete a training on these changes as well this year.
 
All required training content and resources will be available for users to access beginning on Monday, September 13.
 
Required Trainings:

  1. An annual re-certification training on the Data Privacy & Security policies of MN's HMIS to ensure we each do our important part to keep client data safe and secure.

  2. A training on recent HUD and MN Universal Data Element changes – these changes impact the data you collect and enter into Minnesota’s HMIS and, therefore, is important for you to understand.

    1. An additional training on Program-Specific Data Element (PSDE) changes will also be required for users doing data entry in providers for funder programs with data element changes going into effect on 10/1/2021. Those funding programs include: MN Housing LTH, DHS Housing Support, DHS LTHSSF, DHS SOR, OEO HYA, HUD CoC, HHS RHY, HOPWA, and VA (SSVF).

 
What can you do now to prepare?
 
You will be expected to watch these required trainings by October 1st, 2021, in order to maintain access to your HMIS user account. Please note that your license will be inactivated if you have not completed these re-certification training requirements by the end-of-day on Friday, October 15th, until such time as training is completed.

  1. To prepare for this training requirement, you should hold 60 minutes on your calendar sometime between Monday, September 13th and Thursday, September 30th. This will allow you enough time to grab a cup of coffee, watch the required training videos, and complete two short quizzes on the content.

  2. Review your email address on file in ServicePoint to ensure that it is correct and up-to-date (instructions are here) as soon as possible. We will be creating new accounts in Moodle (read more about Moodle here) for all users to complete this training requirement - but it requires an accurate email address to engage in the process! There is nothing you need to do at this point to get set-up in Moodle – just be sure your current ServicePoint email address is up-to-date.
