Upcoming Changes to Data Checkers

ICA's Reporting and Evaluation Team (RET) plans to release some changes to data checkers on March 26, including rearranging the data checker menu in the Home Workspace, making improvements to the performance of the Common Data Checker, and releasing the new Assessment Data Checker.

We're working to improve the existing data checkers and add new ones, as we know you like them! We're making a couple big changes on March 26 and wanted to let you know in advance.

Menu Changes

With 12 data checkers in the Home Workspace (and 5 more planned or under development), we felt it would be good to arrange them a bit better. On March 26, the existing Data Checkers folder in the Home Workspace will be split into 3 folders: First Stop Data Checkers, Other Data Checkers, and Program-Specific Data Checkers.


First Stop Data Checkers

The data checkers in this folder are the ones we recommend that every program use on a regular basis. How often you run the data checkers is up to your organization, but we recommend considering both the size of your program (i.e., how many clients are served at one time) and the rate of turnover (i.e., how often clients leave, and new clients enter) when determining how often you run these data checkers.

Starting March 26, this folder will include these data checkers:

  • Current Client Roster (092)

  • Common Data Checker (148)

  • Assessment Data Checker (149)

Other Data Checkers

The data checkers in this folder are ones that may be useful depending on the type of program(s) your agency operates. Some of them are specific to housing programs, while others are relevant to outreach or shelter programs.

Starting March 26, this folder will include these data checkers:

  • Annual Assessment Tool (138)

  • CE Status Checker (077)

  • Client Milestone Age Status (053)

  • Engagement & CLS Checker (070)

  • Housing Move-In Date Checker (073)

  • Incoming Housing Referral Checker (131)

  • Moved-In Clients by Date (139)

Program-Specific Data Checkers

The data checkers in this folder are specific to the funding received by your program and will only work for programs that receive the specific funding source. At minimum, these should be run prior to any reporting deadlines to ensure your reports are as accurate as possible.

Starting March 26, this folder will include these data checkers:

  • FHPAP Data Checker (144)

  • LTH/HPH Data Checker (151)

  • PATH Data Checker (146)

Revised & New Data Checkers

The Common Data Checker (148) will be getting a rebuild to make it run more efficiently and be easier to use. We anticipate that this change will reduce the chance of the data checker timing out as well as align the layout of the data checker with the 'Client & Enrollment Detail' tab of the Data Quality Report (002). As part of this change, we've also moved some items out of the Common Data Checker and into the new Assessment Data Checker.

The new Assessment Data Checker (149) is designed to accompany the Common Data Checker and matches the layout of the 'Assessment Detail' tab of the Data Quality Report. The 'County of Residence' and 'Experience of Domestic Violence' columns were moved from the Common Data Checker into this new data checker, and we added new columns for health insurance, income, non-cash benefits and all 7 barriers. We recommend using the Common Data Checker to fix as many issues as possible first, then using the Assessment Data Checker after that.
