Updates to Billing Processes

This update identifies a change to license invoicing procedures, and billing frequency.

Previously, MN Billing would send out notices for license renewals, followed by an issued invoice. While MN Billing is still sending out license renewal notices to agencies, the following invoice is now generated and issued by ICA's Accounts Receivable department. Emails with Accounts Receivable as the sender are from ICA, and safe to interact with. If an invoice needs to be edited for any reason, please notify Accounts Receivable, and Cc MN Billing.

Upon receipt of a billing notice, please confirm all licenses to renew/remove within 30 days, or licenses may be deactivated at the expiration date. Once confirmation has taken place, licenses will be reactivated, and an invoice issued.

Additionally, while agencies have designated renewal periods, ICA will be moving to quarterly billing for license renewals, while prorated billing will occur on a monthly basis as new users are added to HMIS.
