The changes for the Fiscal Year (FY) 2022 HUD and MN HMIS Data Standards will take effect on Friday, October 1st, 2021. Training

Required Re-certification Training for All Users:

  • One video (7 mins.) and quiz on the HUD and MN Universal Data Element changes, required for all users.

  • A second video (10 mins.) on the Program-Specific Data Element changes for users doing data entry for the following funding programs: HUD CoC, MN Housing LTH/HPH, Homework Starts with Home, DHS Housing Support, DHS LTHSSF, DHS SOR, OEO HYA (YSH only), HHS RHY, HOPWA, and VA (SSVF).

FY 2022 Gender Response Options

The temporary ‘Gender’ field that was added to the system for use until the new field became available has been removed. To assist with the new data entry options, there is a new Knowledge Base article about collecting and entering the ‘Gender’ data element available. Here is what the new ‘Gender’ field looks like, plus some quick tips to assist with data entry:

  • You can select multiple responses if they are not ‘Client doesn’t know,’ ‘Client refused,’ or ‘Data not collected.’ To make multiple selections, hold the Control (Ctrl) key and left-click each value as necessary.

  • Choosing one of ‘Client doesn’t know,’ ‘Client refused,’ or ‘Data not collected’ makes all other options greyed out.

  • Clicking the “Clear All” button may delete previously saved ‘Gender’ responses, so proceed with caution!

ART Reports

As with every year’s HMIS data standards changes, ART reports must be updated with the new data standards. The REPORTcollection has been updated to include two new fields for every report to indicate what the FY 2022 Data Standards status is and to provide an estimated time for when ICA will release an updated version of the report. Provider (“Canned”) Reports

CoC APR, ESG CAPER, & PATH

Beginning October 1, 2021, Sage will only accept the FY 2022 versions of the ESG CAPER and CoC APR and the PATH Data Exchange (PDX) will only accept the FY 2022 version of the PATH report. WellSky, MN’s HMIS software vendor, released the upgrade that includes the FY 2022 versions of the ESG CAPER, CoC APR, and PATH report on the night of October 14, 2021, and ICA is having that upgrade applied to the MN site on October 15, 2021, at 5 AM. Once the upgrade has been applied, users will be able to submit reports in Sage or PDX. ICA will add more details about the changes to the ESG CAPER, CoC APR, and PATH reports once they are available in HMIS.

Coordinated Entry APR

The FY 2022 Coordinated Entry APR is now available for use. Beginning October 1, 2021, Sage will accept the FY 2022 Coordinated Entry APR for annual submissions and SSO-CE grant holders for the CoC program should use the new report from that date forward.

Documentation

Data Collection Forms and HMIS User Guides have been updated with the FY 2022 HUD and MN HMIS Data Standards Changes. The data collection forms that are currently available are in Word document format. ICA is currently working on creating fillable PDF versions of the data collection forms and will send a news alert when they become available.

The FY 2022 Minnesota HMIS Data Standards Guide is now available and reflects the FY 2022 HMIS Data Standards changes. This version of the guide is effective as of October 1, 2021 and has replaced the previous version.
